How to book a group at Tarragon Theatre:
Production, date, and group size:
· Choose a production and possible dates and determine the size of your
group - for ticket prices for groups click here.
Please call or e-mail the theatre if you would like
to discuss the suitability of any show for your group.
· If you contact the theatre by phone or email please leave a detailed
message about possible productions, dates, group size, etc. so that your call
can be returned with as many answers as possible.
· Alternatively, group reservations can be made in person by making an
appointment in advance.
Group representative:
· Choose a group representative - this is one person from your organization who will be the contact for all aspects of the reservation.
Tickets and payment:
· A Visa or Mastercard number is needed to make a group reservation via phone or e-mail. This credit card number will be held in our ticket system in the time leading up to the production or until another method of payment is offered in its place.
· Ticket numbers can decrease until 2 weeks before the performance date. It is the responsibility of the group representative to contact the theatre with final numbers at that time. In the absence of contact from a group the last ticket amount held in the group's name will be applied to the reservation.
· Additional tickets can be purchased anytime up to the performance date at the group rate - additional tickets are subject to availability.
· One complimentary ticket is offered to the group representative for each separate booking in a season.
· For student bookings 1 ticket for every 20 purchased is free of charge to be used by teachers and chaperones.
· The credit card number can be used to pay for the reserved tickets, or cash or a cheque can be offered in its place. Should you choose to use a credit card for payment an additional charge will be levied. If a group representative does not choose to submit a credit card, the reservation will be confirmed only upon receipt of full payment by cash or cheque. This applies to all group reservations.
· Tickets can be collected in advance during regular box office hours, or on the day of the performance.
Contact information:
· Ensure that the theatre has the group and group representative's information including address, work and home telephone numbers, so that we can reach someone in an emergency or with more information about the production or your booking.
· A telephone number with an answering service is ideal - teachers without voicemail at their schools are encouraged to use another number where messages can be left.
· If you are traveling with a group by bus please make sure the theatre has a cell phone number (of someone on the bus) that can be used to speak with you en route in case of traffic or other problems. If you have not arrived within 15 minutes of the performance a courtesy call with details of your situation is appreciated. Messages can be left in the general delivery mailbox x100 should no one be available to answer your call.
· Ensure the theatre has an e-mail address to use in order to send information about access to our study guides.
Group information:
· Let the theatre know what kind of group you are bringing i.e. a book club, the age or grade of the students, and any possible concerns such as wheelchair seating, poor vision or hearing, or unfamiliarity with the role of the audience in live theatre.
Reservation agreement:
· Once a group booking has been made you will be sent a reservation agreement
· The reservation agreement will indicate the cost of the tickets with and without a credit card fee and the date by which numbers need to be finalized with the theatre.
Theatre policy: · Please be aware
that the theatre is general admission seating, the house opens one half-hour
before the show and NO LATECOMERS ARE ADMITTED. It is the responsibility
of the group representative to inform all members of the group that Tarragon
Theatre upholds a strict no latecomers policy.
· To ensure that your group sits together please arrive early to claim seats together.
· For student matinees the theatre is blocked off into seating sections by school.
Unused tickets:
· No refunds are available for unused tickets.
· Should a performance have a waiting list and a group attending with unused tickets, the theatre will assist the group by transferring tickets in the group's name to those on the waiting list.
